Optified ERP
Stop paying per seat for a system built for someone else's business.
Most ERP and CRM software charges you per user, per month, forever — so the more your business grows, the more it costs to run the system meant to support that growth. Optified ERP is a fixed-price implementation on ERPNext, the open-source platform, with one flat monthly fee for unlimited users.
Every Optified ERP scope states plainly
- what's built, and what's explicitly out of scope
- what you'll pay once, and what's a flat monthly fee
- that NZ payroll is integrated, never built from scratch
- that you own your data and configuration — no lock-in
The problem
Per-seat ERP punishes you for growing
Popular mid-market ERP platforms charge in the order of NZ$130 per user per month at their standard tier. For a 20-person business, that's roughly NZ$2,600 a month in licences alone — before a single day of implementation — and it climbs every time you hire. Most NZ SMEs outgrow Xero-plus-bolt-ons around the 10–20 employee mark, then find the "proper" ERP option costs more to run than the problem it was meant to solve.
What Optified ERP actually is
Scoped from evidence, priced once, supported monthly.
A fixed-price build, followed by a flat fee that never grows with headcount.
Scoped from evidence
Every build starts with a documented business case — either your own Value Discovery, or an equivalent scoping conversation — so you know exactly what you're paying for before you commit.
You own what's built
ERPNext is open source. There's no vendor lock-in clause buried in a contract — if you ever want to leave, your data and your system configuration are yours.
NZ-aware, honestly scoped
GST handling and NZ bank payment files are covered. Payroll and IRD payday filing are explicitly not built into the ERP — we integrate to a compliant NZ payroll provider instead, because the Holidays Act is genuinely high-risk territory and deserves a specialist, not a general-purpose module.
Flat monthly fee, unlimited users
Hosting, support and updates for one flat fee — not a per-seat charge that penalises you every time you hire someone new.
How it's priced
Two components, one clear structure
Build
Fixed price, fixed scope, staged — typically a 4–8 week implementation.
Managed
Flat monthly fee, unlimited users — hosting, support and updates included.
Entry point
Value Discovery (NZ$7,500 + GST, 10 business days) scopes the build and de-risks the commitment on both sides.
Exact pricing depends on scope — talk to us before assuming a figure. The structure (fixed build + flat monthly fee) is fixed; the numbers are set per engagement.
Common questions
What's in scope, and what deliberately isn't
- Do you handle payroll? Not inside the ERP. We integrate with a compliant NZ payroll provider (Smartly, KeyPay, Datacom Payroll or similar) and bring clean payroll journals into your system. Building Holidays Act compliance from scratch inside a general ERP module is a risk we won't take on your behalf.
- What if we already use Xero? Xero stays for what it's good at — general ledger, GST, bank reconciliation. ERPNext handles what Xero doesn't: inventory, quoting, job costing, multi-step workflows. The two integrate.
- Is open source software actually supported properly? Yes — the flat monthly fee is exactly what pays for that support. Open source means you're not locked into our contract to keep using the software; it doesn't mean you're on your own.
- Not included NZ payroll/IRD payday filing (integrated, not built), and anything outside the scope agreed at the Value Discovery stage — those become a separate, explicitly quoted phase.
Get started
Start with one process, not a whole system replacement.
A Value Discovery tells you, in 10 business days, whether an ERP build is actually worth it for your business — with a number attached. If it isn't, we'll tell you that too.
